Terms of Service

1. What SeptiBase is
SeptiBase is subscription software for septic pumping and hauling businesses: scheduling and dispatch, customer and property records, field data capture, invoicing, payments, reminders and reporting. We may add, change or remove features over time.
2. Your account
- •You must be 18 or older and provide accurate information.
- •You're responsible for keeping your password secure and for everything that happens under your account.
- •You're responsible for your team members' use of the service.
- •Tell us promptly if you suspect unauthorised access.
3. Free trial
New accounts start with a 14-day free trial. We collect a payment method when you sign up so that service continues without interruption when the trial ends.
You are not charged during the trial. If you cancel before the trial ends, you are not charged at all. If you don’t cancel, your subscription begins automatically at the end of the trial at the plan and interval you selected, and your payment method is charged.
4. Subscriptions, billing and cancellation
- •Plans. Pricing is shown on our pricing section. Plans are billed monthly or yearly in advance, and renew automatically until cancelled.
- •Plan changes. You can change plans at any time. Changes are prorated automatically — you pay the difference for the remainder of your current billing period.
- •Cancellation.You can cancel any time from Settings. Your subscription stays active through the end of the period you’ve already paid for, then stops. We don’t provide partial refunds for unused time unless required by law.
- •Failed payments. If a payment fails, we may retry and will notify you. Access may be suspended if the balance stays unpaid.
- •Price changes.We may change pricing, but we’ll give you at least 30 days’ notice before it affects your renewal.
- •Taxes.Prices exclude taxes unless stated. You’re responsible for any applicable taxes.
5. Taking payments from your customers
If you enable payment processing, payments from your customers are handled by Stripe through a Stripe Connect account in your name. Money goes directly to your bank account — it does not pass through SeptiBase.
- •We charge 0% platform feeson those payments. Stripe’s own processing fees still apply and are between you and Stripe.
- •Your use of Stripe is governed by the Stripe Connected Account Agreement. You’re responsible for meeting its requirements.
- •SeptiBase is not a party to transactions between you and your customers. Disputes, chargebacks, refunds, and the goods or services you sell are your responsibility.
6. Your data
You own your data. Your customer records, service history, photos and everything else you put into SeptiBase remain yours. You grant us a limited licence to host, process and transmit it solely to operate the service for you.
You are responsible for the data you upload — including having the right to store information about your customers and to contact them. If you use our reminder, review-request or win-back features to email your customers, you’re responsible for complying with the laws that apply to those messages.
You can export your data to CSV at any time from Settings. See our Privacy Policy for how we handle it.
7. Acceptable use
You agree not to:
- •Break the law, or use SeptiBase to help someone else break it.
- •Upload anything you don't have the right to upload.
- •Send spam, or email people who haven't agreed to hear from you.
- •Probe, scrape, overload, reverse-engineer or attempt to bypass the security of the service.
- •Resell or white-label the service without our written permission.
- •Share an account across separate businesses to avoid paying for seats.
8. AI features
Some plans include AI features that generate answers and summaries from your business data. AI output can be inaccurate or incomplete. It’s there to help you think, not to make the decision. Don’t rely on it as your only basis for a financial, legal, regulatory or compliance decision, and check anything that matters.
9. Availability
We work to keep SeptiBase available and fast, but we don’t promise uninterrupted service. We may need to perform maintenance, and things outside our control (hosting, payment or email providers) can fail. We don’t currently offer a contractual uptime SLA.
10. Disclaimer of warranties
The service is provided “as is” and “as available,” without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement, to the fullest extent permitted by law. SeptiBase is a business tool — it is not legal, accounting, tax, environmental or regulatory-compliance advice.
11. Limitation of liability
To the fullest extent permitted by law, we are not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost revenue, or lost or corrupted data.
Our total liability for any claim relating to the service is limited to the amount you paid us in the 12 months before the event giving rise to the claim.
12. Indemnity
You agree to indemnify and hold us harmless from claims arising out of your use of the service, the data you upload, the messages you send to your customers, your transactions with your customers, or your breach of these terms.
13. Termination
You can stop using SeptiBase and cancel at any time. We may suspend or terminate your account if you materially breach these terms, if required by law, or if your account is used in a way that risks harm to the service or other users. We’ll give you notice and a chance to fix it where it’s reasonable to do so.
On termination, your right to use the service ends. Export your data first — see section 6.
14. Changes to these terms
We may update these terms. We’ll change the date at the top, and for material changes we’ll notify you by email or in the app before they take effect. Continuing to use SeptiBase after that means you accept the updated terms.
15. Governing law
These terms are governed by the laws of the State of Michigan, without regard to its conflict-of-laws rules. Any dispute will be brought in the state or federal courts located in Charlevoix County, Michigan, and both parties consent to that jurisdiction.
